1. Scope

This policy explains how we collect, use, share, and protect personal data when you:

  • visit our website (the “Site”),

  • create an account or use Message Wizard (the “Service”), or

  • communicate with us (email, support tickets, social).

Controller: For Site and Service use, Message Wizard is the data controller.

Processor: When you connect mailboxes and process emails/order data through the Service on behalf of your organisation, we typically act as a data processor under a Data Processing Addendum (DPA).

2. Data we process

2.1 Account & billing (Controller)

  • Identity & contact: name, work email, company, role, phone (optional).

  • Auth: SSO identifiers, user IDs, access tokens, audit logs.

  • Billing: plan, invoices, payment status, VAT numbers (no card data stored—handled by Stripe).

  • Comms: support requests, feedback, sales emails, meeting notes.

 

2.2 Service data you submit (Processor)

  • Email content: bodies, headers, attachments, signatures, POs, delivery addresses, contact details within emails.

  • Derived data: parsed order JSON, confidence scores, exception logs.

  • Configuration: connectors, mappings, retention settings.

We process this solely to provide the Service to you under your instructions and our DPA.

 

2.3 Website & product analytics (Controller)

  • Technical: IP address, device/browser info, timestamps, referring pages.

  • Usage: features used, errors, performance metrics.Cookies/SDKs: see Cookies below.

We do not intentionally collect children’s data. The Service is for business use by adults.

3. No AI training guarantee

We do not use your emails, attachments, or outputs to train, fine-tune, or improve any machine-learning or generative-AI models—ours or third parties. Where we use model providers, we disable provider data retention/training where configurable and send only the minimum necessary fields.

4. Changes to this policy

We may update this policy from time to time. We’ll post changes here and, if material, notify you (e.g., email or in-app) with reasonable advance notice. Please review regularly.
